Position Summary

 

The Senior Sales Coordinator is responsible for supporting the marketing and sales process at WEL independent living, personal care, and memory care communities. This individual must be able to assist the lead salesperson in the creation, management, and implementation of new lead generation programs at the communities; follow up on activities with prospects including setting appointments and conducting tours, obtaining deposits, executing contracts, the processing of required documents for resident move ins, as well as assuring unit readiness. Significant interaction with prospective residents and family members for a wide variety of issues prior to move in, to assure a smooth move in process for new residents.

 

Essential Duties and Functions

 

Reporting

  • Coordinate all in-house moves with residents, families, and moving/packing services.
  • Verify details and organize actual physical move in for new resident with community staff; coordinate with hospitality committee to assure seamless transition for new resident.
  • Assist in the timely management of prospect database (Welcome Home) including prospect data entry and tour, deposit, and move in status updates.
  • Create occupancy memo after every agreement execution and distribute to community-specific email group; communicate move in progress/updates to community staff.
  • Maintain detailed and accurate records for all IL/PC residents; move-ins, outs, transfers, in-house moves, changes in level of care, etc.

 

Process Management

  • Mail and email brochures to prospective residents & maintain supply of literature for use throughout the building & for mailings.
  • Assist in outreach tasks as directed by lead salesperson including follow-up with referral partners and development of new professional referral relationships.
  • Represent the Sales and Marketing team as part of the community leadership team at ED meetings.
  • Host community events for prospects and professional referrals as directed by lead salesperson.
  • Work with the community renovation team and maintenance staff to assure unit readiness and punch list items are completed.

 

Performance Metrics

  • Become a direct contributor in the meeting of occupancy and entrance fee goals for the community.
  • Plan and implement monthly outreach events/programs held at the community (combination of consumer and professional referral source events).
  • Schedule, conduct tours and obtain deposits at the direction of the lead salesperson at the community.
  • Assist lead salesperson and act on initial lead inquiry and follow-up calls to prospects in Welcome Home (CRM) daily, with goal of setting tours to meet community goals.
  • Meet with lead salesperson and SVP Marketing to develop/refine quarterly occupancy goals and annual marketing plans to include consumer and professional referral event planning and implementation.
  • Participate in sales support and training sessions including but not limited to: Welcome Home capabilities webinars, sales brainstorming meetings, and external sales seminars as applicable; stay abreast with competitor activities and trends in senior living.
  • For all new contracts, personally executed or in coordination with Regional Sales Manager – prepare all contracts, all pre move in paperwork with physicians and families, obtain all clinical and financial approvals for all new move in’s and prepare files.

Qualifications

Qualifications include:

  • 2+ years’ experience in a sales or marketing support role, with demonstration of progressively increasing responsibilities and growth; 1 year experience as Sales Coordinator at WEL with meeting of individual sales performance criteria

 

Additional qualifications include:

  • Outstanding interpersonal and direct marketing skills – ability to communicate professionally and convincingly with seniors, family members and peers.
  • Outgoing and enthusiastic with desire to grow into direct selling responsibilities as part of career goal.
  • Creative self-starter with strong time management and organizational skills.
  • Exemplary follow-through and project management capabilities; attention to detail necessary.
  • Trustworthy with superior teamwork ethic and positive attitude.
  • Possess an intermediate level knowledge of Microsoft Word, Excel, Power Point.
  • Ability to quickly learn new computer programs and software as needed.

 

Education: High School Diploma required

 

Licensure/Certification:  None

 

Language Skills: Ability to listen to and understand information and ideas presented through spoken word and sentences, and the ability to communicate information and ideas in speaking so others will understand.
