This Administrative Assistant I will work very closely with the Wellness Director and be responsible for any and all administrative duties that are necessary to keep the Wellness department functioning efficiently and delivering quality care to our residents.


Administrative Assistant I essential duties and responsibilities include, but are not limited to:

  • Responsible for answering telephones in outpatient office and referring calls to triage Wellness Director; provide adequate follow though of problems or question asked.
  • Order medication as needed. Call pharmacy with any problems with medication delivered or report missing medications ordered.
  • Assist physicians’ during office visits. Have Charts available for physician visits.
  • Obtain vital signs on residents having appointment with the doctor or in preparation of daily physicals.
  • Schedule follow-up appointments as needed or when a problem arises.
  • Complete daily roster of resident who are in the hospital from skilled care, Independent Living and Personal Care.
  • Maintain inventory of medical supplies and order supplies.
  • Responsible for filing all medical information on a timely basis assuring that all medical records are current.
  • Assist nurse in reporting test results to residents after the doctor has determined release of information; make copies of test results.
  • Assist in answering emergency calls in apartments.
  • Check on residents who have returned from the hospital or skilled care unit, as directed.
  • Deliver special appointment slips in residents’ mailbox to remind them of their appointments.
  • Transport residents to doctor’s appointments on an emergency basis.
  • Schedule consultants’ appointments
  • Schedule tests for residents as ordered by physicians and instruct residents regarding specific needs or restrictions.
  • Complete lab slips on a daily basis.
  • Contact residents to remind them of next day appointment and lab work.
  • Assist with Medication Management Program, Billing and filing.
  • Check that all labs, X-rays, consultants, and any additional tests have written reports on charts.
  • Fax medical information to outside specialists.
  • Obtain medical record information from previous physicians or consultants.
  • Work holidays on a rotating basis.


Related Experience: Administrative experience a must, preferably in a healthcare setting


Education or Degree Requirements: High School Diploma or equivalent


Licenses, Certifications Registrations: CNA license or equivalent certification preferred
