    Responsibilities

    The Administrative Assistant II provides administrative support to the corporate office Executive Staff, WEL Foundation, and corporate managers as needed.

     

    Administrative Assistant II essential duties and responsibilities include, but are not limited to:

     

    • Provides administrative support to Corporate Executive Team.
    • Answer phones - Forward messages left on the main WEL voicemail box
    • Order general office supplies and supplies for copiers, printers, and kitchen/coffee
    • Order business cards, letterhead and envelopes for all WEL communities
    • Submit supply invoices and check requests to finance department.
    • Distributes monthly financial reports to Executives and Community Executive Directors.
    • Distributes HR Metrics reports to VP HP and HR Managers
    • Manage conference room reservation calendar.
    • Process outgoing mail including certified, and express mail.
    • Sort and distribute incoming mail
    • Maintain Postage Meter – add funding as needed
    • Deposit Fed Ex & UPS packages in Deposit Box
    • Deliver time sensitive mail to post office as needed
    • Report any building maintenance problems to Building Manager and notify staff of any problems.
    • Distribute Office Keys as supplied by building manager
    • Maintains calendars and reserve meeting room location and equipment, order catering if necessary
    • Address and mail employee anniversary cards
    • Coordinators corporate employee functions, such as lunches, picnics
    • Coordinate Annual Service Awards gift selection process for all communities.
    • Coordinates schedules for Annual Drivers Training Program for communities.
    • Orders Acknowledgements (flowers/gift baskets) for employee life events (i.e. Get Well/Sympathy)
    • Enter Foundation donations into the results plus database
    • Process acknowledgement letters to WEL Foundation donors
    • Assist with copying and filing and special mailings as needed.
    • Performs other administrative support duties as assigned.

    Qualifications

    Related Experience: Courses in general office procedures and/or one year of office/clerical experience is preferred. Must be proficient in Microsoft Office, Proficient Excel skills. Must have exceptional organizational and communication skills with the ability to manage multiple projects.

     

    Education or Degree Requirements: High school diploma or general education degree (GED)
