Responsibilities

The Sales Coordinator is responsible for supporting the marketing and sales process at WEL independent living and personal care communities at one or more of our communities. This individual must be able to assist the Sales Manager in the creation, management, and implementation of new lead generation programs at the communities, the processing of required documents for resident move in’s, as well as compilation and analyses of marketing and sales reports. Significant interaction with prospective residents and family members for a wide variety of issues prior to move in, to assure a smooth move in process for new residents.

 

Sales Coordinator essential duties and responsibilities include, but are not limited to:

  • Maintain prospect database including data entry, transferring leads, and generating lead, tour and move in reports as needed
  • Mail and email brochures to prospective residents & maintain supply of literature for use throughout the building & for mailings
  • Assist in creation, planning and implementation of community open houses, events and senior club luncheons; follow up, gather data and compile feedback post event.
  • Assist Sales Manager with prospect tours and lunches at open houses
  • Create and maintain all resident records in WEL Point, Click, Care system.
  • Prepare all new resident independent and personal care contracts including but not limited to working with Sales Manager to coordinate all aspects of pre move-in paperwork with physicians, families and facility staff, and follow up on all documentation to ensure completion and accuracy; preparing files and move in collateral.
  • Communicate all move in progress/updates to community staff
  • Verify details and organize actual physical move in for new resident with community staff; coordinate with hospitality committee to assure seamless transition for new resident
  • Maintain detailed and accurate records for all IL and PC residents: move-ins,   outs, transfers, in-house moves, changes in level of care, etc.
  • Create and maintain all resident records in WEL Point, Click, Care system.
  • Coordinate all in house moves with residents, families and moving/packing services. 

Qualifications

Related Experience: 2+ years experience in a sales or marketing support role, with demonstration of progressively increasing responsibilities and growth

 

Education or Degree Requirement: Bachelor’s degree in business administration or marketing preferred
